How It Works

  1. Tell me the trip. Which conference (or conferences) your team is attending this year: SECO, Optometry’s Meeting, the TOA Summit, Vision Expo, and other national or Texas-regional events.
  2. I handle the logistics. Flights, hotel room blocks, and ground transportation for everyone traveling, doctor and staff alike.
  3. You show up. Want a team dinner or activity built around the conference? I plan that too.

What’s Included

  • One point of contact for every traveler. Doctor and staff both come to me instead of it landing on you or your practice manager.
  • Deadline reminders. I flag early-bird pricing and room block deadlines ahead of each conference so your practice never pays full price by missing a date.
  • Room block backup. If the conference’s official block is full, I negotiate a new hotel room block for your group.
  • Flexible payment. One payment from the practice, split by staff member, or a mix of both.
  • Separate itineraries in one trip. Some staff fly home after the conference, others extend into a personal vacation. Both get booked correctly.
  • A tracked conference calendar. I keep a running calendar of national and Texas-regional optometry CE conferences so you don’t have to.
  • A built-in employee perk. Every staff member on the retainer also gets personal vacation planning for themselves, at no extra cost to the practice.

Retainer Pricing

Single-location practices with a small team fall at the lower end. Multi-practice groups or larger teams, with more travelers and more conferences, fall higher.

Why Book This as a Group

CE cruises and conferences work best with critical mass: better group rates, an easier time filling a room block, and a built-in community for the trip itself. But someone has to manage registration, payments, cabin assignments, and last-minute changes for the whole group, and that job usually falls on an already-busy practice owner. I take that off your plate.
